Quick Guide to OneDrive
OneDrive is a cloud-based storage platform provided by Microsoft.
It offers students a secure and convenient way to store, access, and share files and documents from anywhere with an internet connection.
It is recommended that you use OneDrive as your main location for storing files.
You can access your OneDrive account through the student portal.
Task | Instructions |

Getting Started | Sign in to your Microsoft account with your student email address Access OneDrive through a web browser or download the OneDrive app for your device. Install the OneDrive desktop app to sync files between your device and the cloud. |
Uploading Files | Web: Click on "Upload" and select the files or folders you want to upload. Desktop: Drag and drop files or folders into the OneDrive folder. |
Organising Files | Create folders to categorise your files. Select "Add new" to create a new folder or document. Create a clear and logical folder structure to organise your files. Creating folders and organise them by class, semester, or project to keep everything tidy and easy to find, Use tags and labels to mark files for easier searching. |
Syncing | Ensure the OneDrive desktop app is running to sync files automatically. When you create a document using the suite of Microsoft Office applications you can save your document to your OneDrive account. File> Save As> OneDrive> Select your chosen file. Files saved in the OneDrive folder will sync across all your devices. |
Sharing | Select a file or folder, then select “Share” to generate a link. Choose who can access the link and set permissions (view only or edit). Share directly with people by entering their email addresses. Choose between view-only or editing permissions when sharing files. |
Collaboration | Work on files simultaneously with others in real-time. Comments and annotations help communicate changes and feedback. Use version history to restore previous versions of files if needed. |
Accessing Files | Access files from any device with an internet connection. Install the OneDrive mobile app for on-the-go access. Use the web interface to view and manage files from any browser. |
Security | Set up two-factor authentication for added security. Control access with sharing permissions. |
Version History | Revisions: OneDrive keeps track of version history, allowing you to revert to previous versions of your files if needed. Recover accidentally deleted files from the Recycle Bin within OneDrive. |
Backup and Recovery | Backup Important Documents: Use OneDrive as a backup solution for your important academic documents. Ransomware Protection: OneDrive offers built-in ransomware detection and recovery. |
Additional Features | Scan documents directly into OneDrive using the mobile app. Use Microsoft 365 integration for seamless editing of Office documents. Explore advanced settings for customized syncing and storage options. |
Troubleshooting | Check your internet connection if files aren’t syncing. Restart the OneDrive app or device if encountering issues. Visit the OneDrive support page for detailed troubleshooting guides. |
