What do I need to set this up?

  • Access to a personal smartphone or tablet with the most up-to-date operating system and software installed.
  • Enough storage to download an app
  • Good data reception/WiFi access
  • Access to an alternative phone number
  • Access to a PC or a laptop for setup so your phone/tablet is available to scan the QR code

1. Install the Microsoft Authenticator App on Mobile Device

You can download the app onto your mobile device from either the App Store for Apple devices or Google Play Store for Android devices.

2. Open Office.com in a private browser window

On your PC or laptop, open Google Chrome by clicking the three dots icon in the top right-hand corner and click New incognito window.

For Mac users - open Safari on your PC or laptop, click File and click New Private window.

Go to Office.com and login with your Ulster University login details.

3. Set up App Authentication for your Office Account

Click your Initials or Photograph in the corner of the screen and click View Account. Click Security info which should be displayed on the left hand side of your screen.  Click Add Sign-In Method and chose the Microsoft Authenticator option from the list.

4. The Microsoft Authenticator App Setup Wizard

The Microsoft Authenticator App setup wizard will now be displayed. Click Next.

5. QR Code screen

A QR code should be displayed on screen.

* Keep this window open on your desktop/laptop

6. Link your Mobile App

Open the Microsoft Authentication App on your mobile device/smartphone.  When prompted, click to add a Work or School Account.

* If prompted, on your smartphone or tablet, select:

  • Allow Camera Access.
  • Allow Notifications.

The app should now display a window that uses your smartphone camera to let you scan the QR code by holding your smartphone up to your PC or laptop screen, ensuring the QR code is fully visible.

Your phone should auto-detect the QR code and your smartphone screen will change.

7. Trying out the MFA Authentication

On your PC or Laptop click Next.  Your PC or laptop will now display a message showing a two digit number which you will use to approve your sign in request using your Microsoft Authenticator App on your mobile device.

8. Verify it is you trying to sign in

You will be prompted, on the Microsoft Authenticator App on your smartphone or tablet, to enter the 2 digit number you will have seen on your pc/laptop (as above).

Type the number and select Yes.

9. Setup Confirmed

The Microsoft Authenticator App should now be successfully paired with your Ulster university O365 account and the message ‘Notification approved’ should display on your PC or laptop screen.

Click Finish on your PC or laptop.

Set up an alternate phone number

Digital Services recommend that you add an alternative UK phone number (landline is accepted), as another MFA method. This would allow you to gain access to your account if the Microsoft Authenticator App or your smartphone becomes inaccessible due to loss/damage.
